This Privacy Policy explains how Seren Signage (“Seren Signage”, “we”, “us”) collects, uses, and protects personal data when you use our websites, applications, players, and related services (the “Service”). We are the controller of the personal data described here. We host in the European Union and aim to collect only what we need to run the Service.

1. Data we collect

  • Account data — your name, email address, password (stored only as a secure hash), and organization name.
  • Content you provide — the photos, videos, links, and other content you upload or add to play on your screens, and the settings you configure.
  • Screen & device data — pairing codes and basic device information reported by the players you connect (such as platform, IP address, screen size, and timezone).
  • Usage & technical data — logs, IP address, approximate location derived from IP, browser/device details, and diagnostics needed to operate and secure the Service.
  • Support data — the information you include when you contact us or submit a request.

2. How we use your data

  • To provide the Service — store your content and deliver it to your screens.
  • To operate, secure, maintain, and improve the Service and prevent abuse.
  • To communicate with you about your account, including verification and service notices.
  • To provide support and respond to your requests.
  • To comply with legal obligations.

3. Legal bases (GDPR)

Where the GDPR applies, we process personal data to perform our contract with you (providing the Service), for our legitimate interests (securing, maintaining, and improving the Service, and preventing abuse), to comply with legal obligations, and with your consent where required. You can withdraw consent at any time.

4. Cookies & local storage

We use your browser’s local storage to keep you signed in (an access token) and to remember basic preferences such as language and theme. We do not use third-party advertising or cross-site tracking cookies.

5. Service providers we use

We share personal data with providers that process it on our behalf, under contract and only as needed to run the Service:

  • Hetzner Online GmbH (Germany, EU) — server and database hosting.
  • Cloudflare, Inc. — media storage and delivery (images and video), content delivery network, and security.
  • Resend — sending transactional email (for example, verification and account notices).
  • Zoho Corporation — email and support ticketing, if you contact us.

We do not sell your personal data or share it for advertising.

6. Data retention

We keep your data for as long as your account is active. If you delete your account or ask us to, we delete or anonymize your personal data within a reasonable period, except where we must retain certain data to comply with legal obligations or resolve disputes. Backups are rotated and expire on a rolling basis.

7. Your rights

Subject to applicable law, you may have the right to access, correct, delete, export, or restrict the processing of your personal data, to object to certain processing, and to withdraw consent. 8. Security

We use appropriate technical and organizational measures to protect your data, including encryption in transit (HTTPS), hashed passwords, scoped access controls, and restricted administrative access. No method of transmission or storage is completely secure, but we work to protect your information and to notify you of significant incidents where required.

9. International transfers

Our primary hosting is in the EU. Some providers (for example, Cloudflare) may process data outside your country. Where they do, we rely on appropriate safeguards such as the European Commission’s Standard Contractual Clauses.

10. Children

The Service is not directed at children and is not intended for anyone under 16.

11. Changes to this policy

We may update this policy from time to time. If changes are material, we will notify you by reasonable means, such as email or an in-app notice. The “last updated” date above shows when it last changed.
